Planned maintenance notices

When maintenance is scheduled, advocates and clients now see a notice in the portal ahead of time, a banner while the window is open, and a reminder 24 hours before it starts. No more surprise downtime.

Different office hours on different days

Availability can now vary by weekday, so a practice that closes early on Fridays or opens late on Mondays can say so. Overlapping windows are rejected at entry rather than showing clients impossible times.

Document previews restored

Previewing a PDF or Word document inside the portal had stopped working in some environments. Previews are now served directly by Advolutely and open reliably again, including on the second and later openings.

Platform hardening and independent security review

A full security review of the past month's changes was completed and every finding addressed. The platform now runs on the current long-term-support runtime, rejects any request that did not arrive through the Advolutely edge, scrubs error logs, and gets a weekly automated security check with dependency updates.

Your portal on your own domain

A practice can now offer its client portal on its own web address, such as portal.yourpractice.com, with the practice's name, tagline, colors and logo applied at sign-in. Client-notification emails now carry the practice's postal address in the footer as well.

Per-recipient email preferences

Every notification email now includes a one-click unsubscribe and a signed link to a settings page, so clients and advocates can tune what they receive without signing in first.

Advocates choose what their clients' actions trigger

When a client uploads a document, sends a message, or books a time, the advocate is told. Each advocate now picks which of those events notify them and whether by email, text, or only in the portal. Video and voice calls are also logged in the case history with their actual duration.

The client portal on a phone

The client side of the portal was rebuilt for small screens. Clients can photograph a multi-page document with the phone camera, watch upload progress, and read the case timeline comfortably. Also fixed: project edits no longer overwrite each other, and the timeline refreshes instead of showing a stale copy.

De-identification before any lookup leaves the platform

Medical evidence lookups are now stripped of identifying details before the query leaves Advolutely, enforced at the boundary rather than by convention. Uploaded documents are also sanitized before preview, and the clinical vocabulary is built from the official CMS release.

Look Up Sources: grounded medical evidence

From any case, an advocate can look up published clinical guidance and coverage rules for a diagnosis or procedure and attach the sources to the file, with citations rather than summaries.

Document preview, reports, cross-case search, and Spanish for clients

Documents open in a preview without downloading. Advocates get printable case reports and a search that spans every case in the practice. Clients can switch the portal to Spanish, and anyone can reset a forgotten password from the sign-in page.

Additional security and account protection

Strengthened login protections and access-code security across the platform, and moved the case audit log to a separate, tamper-resistant record that can be written to but never altered — closing the loop on a fully trustworthy case history.

Calendar and appointment scheduling

Clients can now request a meeting time directly from the portal, matched against your real calendar availability — with automatic email confirmation, a calendar invite, and a reminder before the appointment. No back-and-forth email required.

Guided setup and custom branding

New accounts now walk through a short guided setup on first login, and every practice can add its own tagline, colors, and logo to the client-facing portal — no request ticket needed.
